Privacy Policy
Richmond Hill Hood Cleaning is a commercial kitchen exhaust contractor, and this Privacy Policy is its account of the personal information the website receives, the route that information takes, how long it is kept and how you get a copy, a correction or an erasure. The policy follows the Personal Information Protection and Electronic Documents Act (PIPEDA), the federal law covering a Canadian business that handles personal information in commercial activity. Browsing the site identifies nobody. Personal details arrive only when you send the quote form. Last updated: September 2026.
What the quote form asks for
One form, placed on two pages: the homepage and the contact page.
The five fields you complete. Every one is required, and each is capped at a sensible length so the form cannot be used to dump large blocks of text:
- Your name (split into a first and last name inside the CRM)
- Phone, which must be a 10-digit North American number
- Business or kitchen name
- How can we help? (a free-text description of the job)
What the browser adds for you. The address and title of the page you sent the form from, and a label saying whether it was the homepage copy or the contact page copy. These tell the person reading the enquiry where it started. They say nothing else about you.
Two spam defences. The page stamps the moment it loaded with a signed timing token. A submission sent less than five seconds after the page opened, or from a page left open for more than six hours, or carrying a forged stamp, is dropped. A second field is hidden from people and left empty by every real visitor. Automated scripts tend to fill it, and a filled one is discarded without reaching anyone.
What the form never requests. Card numbers, bank details, a social insurance number, a driver licence or any health information. If a message volunteers any of these, ask and that text is removed from the record.
How a submission reaches the CRM
The data makes one hop through a small program, then lands in one system.
First, a Netlify function. Pressing send posts the fields to a serverless function hosted on this domain by Netlify. The function accepts posts only from this website and its own mirror, checks the timing token and the hidden field, confirms all five fields are present, and stamps the enquiry with a date, a time and a reference code so a double-tap is easy to spot. It keeps no database. Its only job is to pass a clean submission forward.
Then, the GoHighLevel CRM. The function hands the enquiry to GoHighLevel, the customer relationship software Richmond Hill Hood Cleaning uses to track quotes and bookings. A contact record is created there, and the person who prices jobs is notified.
Why the record exists. To send you a written quote within 24 hours and to book the visit. You may get a phone call, a text or an email about that quote or that booking. A form submission does not sign you up for a newsletter or a marketing sequence. Reply STOP to a text and texts end.
Nothing is sold. Contact records are never sold, rented, swapped or handed to an advertising network.
Data stored in the United States. Netlify and GoHighLevel may keep data on servers outside Canada. PIPEDA allows this where the information remains protected by contract at a level comparable to Canadian law. Each provider publishes its own privacy terms.
The Google tag, the chat widget and cookies
Google tag GT-KV5D7Z6. The pages carry a Google tag that measures traffic: which pages get read, in what order, on what kind of device and from roughly which region. The tag loads after the page itself, so it never slows the first view. It does not see the quote form. Form fields travel in a separate request to the Netlify function and never pass through Google. Google handles the measurement data under its own terms. A content blocker or your browser tracking protection stops the tag, and the site works the same without it.
The GoHighLevel chat widget. A chat bubble may appear in the corner of the screen. The widget loads only after you interact with the page or after a short pause, so it does not hold up the page. When it runs, it can use a cookie or browser storage to keep one conversation together while you move between pages. Anything typed into it reaches the same CRM as the form and is handled the same way. The phone and the form do everything the chat does, so ignoring it costs you nothing.
Cookies the site sets itself. None. There is no login, no cart and no saved preference. Any cookie you find comes from the Google tag or the chat widget.
Server logs. Netlify and the delivery network that serves the pages keep short-lived logs of IP address, browser, page requested and time, for security and uptime. Those logs are not used to identify a visitor.
How long records stay, and your rights under PIPEDA
Retention. An enquiry that never becomes a booking is kept long enough to answer it and to recognise the kitchen if it calls again. After a completed job, the signed certificate and the before-and-after photographs are safety records. A kitchen may have to show them to a Richmond Hill Fire and Emergency Services inspector, to York Region Public Health or to an insurer, so they stay on file with the contact details needed to reissue them.
Seeing your record. PIPEDA entitles you to know what personal information a business holds about you. Call 289-796-1166 or use the contact page. A copy follows within the time PIPEDA allows, normally 30 days.
Correcting it. A changed phone number, a new email or a renamed restaurant is updated when you ask.

Minors and outside links. The site is written for people who run commercial kitchens, not for children. A parent who thinks a minor sent the form can call to have the record removed. A link that leaves this domain takes you to a site with its own privacy practices.
Changes to this policy. When handling changes, this page changes too and the date in the opening paragraph moves. The commercial side of a booking sits in the terms and conditions, and every page on the site is listed on the sitemap.

Who reads what I type into the quote form?
The person at Richmond Hill Hood Cleaning who writes quotes and books visits reads it. Netlify runs the forwarding function and GoHighLevel hosts the CRM, each as a service provider under its own privacy terms. No other company receives the record.

The Google tag records page views only. The form sends its fields in a separate request straight to the Netlify function on this domain, and that request never touches Google.
Why did the form reject my phone number?
The Netlify function accepts a 10-digit North American number, with or without a leading 1. Anything else returns a message asking for 10 digits, so a typing slip gets fixed before the enquiry goes missing. Calling 289-796-1166 works just as well.
Can I use the site without the chat widget or the Google tag?
Every page works with both blocked. Close the chat bubble or block it in your browser, and turn on tracking protection to stop the Google tag. The quote form and the phone number keep working either way.
How do I get my details deleted?
A call to 289-796-1166 or a note through the contact page starts it. Contact details are removed from the CRM. Certificates and photographs for a completed visit stay on file as safety records, and the reason is explained when you ask.
